Booksie in-person programmes: Policies and parent agreement

Applicable to Holiday Reading Camp, Book Clubs, Workshops, Special Events and other in-person programmes.

Agreement

By registering a child for a programme, parents/guardians acknowledge that they have read, understood and agreed to abide by the policies below.

Early drop off and late pick up fees 

Drop off is free starting 30 minutes before the programme begins for both the Holiday Reading Camp and Saturday Book Club. If a child is dropped off between 30 and 60 minutes before the start time, a 30ghs early drop off fee applies.

  • Holiday Reading Camp begins at 9am and ends at 3pm

    • Drop off between 8am - 8:30am attracts the early drop off fee, while drop off from 8:30am onwards is free

    • Pick up is by 5pm

    • Late pick up fees begin at 5:01pm at 30ghs every 30 minutes

  • Saturday Book Club begins at 10:00am and ends at 2pm

    • Drop off between 9am - 9:30am attracts the early drop off fee, while drop off from 9:30am onwards is free

    • Pick up is by 3pm

    • Late pick up fees begin at 3:01pm at 30ghs every 30 minutes

  • Late pick up fees apply strictly with no exceptions

Health and illness policy

Children who are visibly unwell should not be brought to any programme.

Please keep children at home if they have:

  • Fever
  • Vomiting
  • Diarrhoea
  • Contagious skin conditions
  • Severe cough or flu symptoms

If a child becomes ill during camp hours, parents/guardians may be asked to pick them up immediately.

Parents must inform camp staff about allergies, medical conditions or special health concerns before camp begins.

Food and allergies: Parents should clearly communicate any food allergies or dietary restrictions before camp starts.

While we take reasonable precautions, we cannot guarantee an allergy-free environment.

Parents are encouraged not to send children with foods that may trigger severe allergic reactions in others.

Safety and supervision

Your child’s safety is very important to us. Children will be supervised at all times during in-person activities, including playtime, reading sessions, games, meals and movement between activities.

However, children naturally get excited during play and group activities. Minor accidents such as bumps, slips, scratches or falls may happen even under proper supervision. These incidents do not mean children are being neglected. They are often a normal part of active childhood play and interaction.

Parents/guardians acknowledge and accept this risk by enrolling their child in the camp.

If a child becomes seriously ill or injured, parents/guardians will be contacted immediately.

Payment policy

To secure a child’s place in a programme, parents/guardians must commit to one of the approved payment options.

  • Instalment plan: Parents choosing the instalment option must complete payment in two instalments within the agreed payment period stated at registration. Failure to complete payments within the agreed period may result in the child losing their slot.

  • Weekly or daily payment option: Parents paying weekly or daily fees must make payment at the beginning of each week or day before participation.

  • Children may not be admitted for the day or week if payment has not been made.

Damaged property and destroyed books

We encourage children to care for books, learning materials, furniture and property.

Parents/guardians will be responsible for the cost of damaged or destroyed property caused by their child.

  • Book replacement fee: A flat fee of 100ghs will be charged for every destroyed or badly damaged book.

  • Property damage: Charges for damaged property will depend on the actual repair or replacement cost of the item damaged.

Behaviour expectations

Children are expected to:

  • Treat staff and other children respectfully

  • Follow instructions from programme facilitators

  • Handle books and materials carefully

  • Avoid bullying, fighting or intentionally disruptive behaviour

  • Persistent unsafe or aggressive behaviour may result in suspension or removal from a programme without refund.

Attendance and absence

Parents should inform camp staff if a child will be absent.

Fees paid for missed days are generally non-refundable and non-transferable unless otherwise approved by management.

Personal belongings

Please label all personal items brought to any programme.

The programme is not responsible for lost, stolen or misplaced belongings, including toys, gadgets, water bottles, bags or clothing.

Children are discouraged from bringing valuable items to any programme.

Photography and media

Photos and videos may occasionally be taken during programme activities for educational, promotional or social media purposes.

Parents who do not want their child photographed should notify management during the programme sign up.

Emergency contact information

Parents/guardians must provide:

  • At least one working phone number

  • An alternative emergency contact

  • Accurate pick up information

Please notify camp staff immediately if contact information changes.

Refund and cancellation policy

Programmes fees paid are generally non-refundable and non-transferable.

Missed days, withdrawals, absences or dismissals from camp will not qualify for refunds except in exceptional circumstances approved by management.

Booksie reserves the right to make decisions regarding refunds at its sole discretion.
